Migrating Rutgers Connect Personal Data to ScarletMail


Upon separation from the University, please arrange to transfer all Rutgers property (including electronic data) to the appropriate authority. For departing faculty and staff, the Retirement Checklist may prove useful.

After transferring all Rutgers data, you may find some amount of personally-owned data remains. Examples of such data include personally-owned scholarly works and student coursework, as described in University Policy 50.3.7. You will not have access to this data on Rutgers Connect following your separation. However, as an alumni or retiree, you may be provided continuing service on ScarletMail. This document describes OIT's suggested method of moving data from a Rutgers Connect account to a ScarletMail account.

This procedure must be used exclusively on personally-owned data. Data classified as Restricted or Critical ePHI under Rutgers Information Classification Policy 70.1.2 must not be transferred to ScarletMail nor any other non-Rutgers system. Doing so may represent a violation of the Federal HIPAA Privacy/Security rules, State Privacy Laws, and/or University policies. Please prepare your data accordingly prior to the migration procedure.

Your Rutgers Connect Delegated Administrator may have additional details regarding unit-level data practices. Please feel free to engage them with your questions or concerns.

To export the data you will need to download the Google Workspace Migration Tool. To use this tool you will need access to:

 

This tool will allow you to import mail, calendars, and personal contacts from your Rutgers Connect account to your ScarletMail account.

  1. Download the Google Workspace Migration tool from https://tools.google.com/dlpage/outlookmigration.
    • Note: This tool is only supported on Windows 7, Windows 8, Windows 10 or Windows 11.
    • MacOS is NOT supported
  2. After the tool finishes downloading, you can open it by searching for "Google Workspace Migration for Microsoft Outlook" from the Windows Start menu.
  3. The tool will then prompt you to enter in your email address, please enter in your ScarletMail address in the form of netid@scarletmail.rutgers.edu. Click Continue. You will then be prompted to log into your account using the standard Rutgers Central Authentication Service (CAS) page.

  4. The Google Workspace Migration tool will provide you with the data they would like to access in order to complete the migration. Click Allow if you wish to continue with the migration.

  5. The tool will then ask you to select if you would like to migrate data from a Microsoft Outlook profile or a PST file. Navigate to and select your .PST file. If you have performed a migration previously, you will be able to choose whether you would like to migrate all data or only new data since your last migration. Click Next

  6. You will then select the data you wish to migrate. Please note that the "Contacts" option will only import your personal contacts, not the global address book. Select Migrate when you are ready to begin your migration.

  7. After you select Migrate you will see a migration status screen. This screen will show you your migration's process. You will be able to see the number of items migrated in each section and the number of items remaining.
    1. Please note that migration can take several hours to complete.
    2. You can use the Pause Migration button if you need to temporarily stop your migration.
    3. The migration log file link found on the status page will alert you to any errors that might have occurred during your migration.

  8. Log into your ScarletMail account to confirm your data has migrated properly.
